Surfaces by Design (“we,” “us,” or “our”) respects your privacy. This policy explains what information we collect through this website, why we collect it, and what choices you have. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

What We Collect

When you send us an enquiry. Our enquiry form asks for:

• your name and phone number (required);
• your email address;
• the city where the project is;
• the type of project, your budget range, and your timing;
• any details you choose to add in your own words.

Automatically, when you browse. Our analytics tool records your approximate location, device and browser type, the pages you view, how long you stay, and the site or search that sent you here. Our security service also records your IP address and basic browser details when you submit the form.

We do not collect payment information on this website, and we do not ask for anything about your household beyond what is needed to price and plan the work.

Why We Collect It

• To reply to your enquiry and prepare a quote.
• To book a site visit, take measurements, and schedule the work.
• To keep a record of what was discussed and agreed.
• To see which pages are useful to visitors so we can improve the site.
• To meet our legal, tax, and warranty obligations.

We do not sell, rent, or trade your personal information, and we will not use your details to market to you unless you ask us to.

How We Store It

Enquiries are stored in the database of this website and emailed to us. Access to the site’s administration area is limited to the owners and the person who maintains the site.

We protect your information with encrypted connections (HTTPS), password-protected access, and by keeping the number of people who can see it small. No system is completely secure, but we take these safeguards seriously.

Consent

We collect and use your information with your consent. By submitting the enquiry form, you consent to us using your details for the purposes listed above.

You can withdraw your consent at any time and ask us to delete your enquiry, subject to any records we are required by law to keep. Contact us using the details below and we will confirm once it is done.

Third-Party Services and Data Outside Canada

Running this website involves a small number of outside services. Where they store data outside Canada — mainly in the United States — that information may be accessible to the courts and authorities of those countries under their laws.

• Google Analytics — measures traffic and how the site is used. It sets cookies and processes your IP address and browsing activity on our pages. It is configured to anonymize IP addresses, and we do not use it to identify individual visitors. When you send an enquiry successfully, it records that an enquiry happened and which project type was selected. It does not receive your name, phone number, email, or the details you typed.
• Cloudflare Turnstile — the security check on our enquiry form, which confirms you are a person and not a bot. It receives your IP address and basic browser information. It does not receive the contents of the form.
• Google Maps — the map on our contact page is embedded from Google and loads when you open that page.
• YouTube — project videos load only after you click play. Nothing is requested from YouTube until you do.
• Our web host and email provider — they store the site and the enquiries we receive on our behalf.

Cookies

Cookies are small files stored by your browser. This site uses them to keep pages working correctly and, through Google Analytics, to measure how the site is used. You can block or delete cookies in your browser settings at any time; the site will still work, though some parts may behave differently.

How Long We Keep It

We keep enquiries for as long as they are useful for the purpose they were sent — typically [24] months for enquiries that do not lead to a project, and for the length of the warranty period plus any legally required retention for projects we complete. After that they are deleted.

Your Rights

You may:

• ask what personal information we hold about you;
• ask us to correct it if it is wrong or incomplete;
• ask us to delete it;
• withdraw your consent to our use of it.

Write to us at the address below and we will respond within 30 days. We may ask you to confirm your identity first.

Children

This website and our services are intended for adults. We do not knowingly collect information from children.

Changes

We may update this policy as our practices or the law change. The current version is always posted on this page, with the date it was last updated at the top.
